You'll be the person who keeps our office running — and the first place colleagues turn to when they need something sorted. If you notice a flickering light before anyone else mentions it and genuinely enjoy making a space work for people, this role is for you.
Key Responsibilities
- Own the office environment: cleanliness, order, lighting, ergonomics, and overall comfort across all zones — spotting and fixing issues before the team notices them;
- Act as a single point of contact for colleagues on any day-to-day administrative or facilities question;
- Plan, track, and report on the office budget; run plan-vs-actual analysis and find ways to optimise spend;
- Handle procurement and supplies: stationery, consumables, coffee and snacks, small appliances and furniture — with accurate inventory and issuing records;
- Manage vendors end to end: sourcing, contracts and orders, payment tracking, reconciliation, and collecting closing documents;
- Organise incoming and outgoing mail and courier logistics;
- Set up and equip workstations, including onboarding setups for new joiners together with IT;
- Work closely with HR, IT, Finance, Legal, and other teams to resolve cross-functional requests quickly;
Skills, Knowledge & Expertise
- Higher education: economics or finance background is a plus;
- 3+ years as an office coordinator, office manager, or administrator;
- A sharp eye for the physical space — you notice what's broken, out of place, or uncomfortable
- High empathy: you're happy to listen, help, and be a reliable resource for people
- Budget planning skills, an analytical mindset, and precision with numbers, invoices, and reconciliation statements;
- Confident with MS Excel / Google Sheets (formulas, tables, expense tracking) and standard office equipment;
- Ability to build constructive working relationships across teams;
- Fluent Russian is required, knowledges of Kazakh and profound English languages are an advantage.
