The Facility & Projects Manager is responsible for the full lifecycle of the physical environment across all SEVEN and Gray facilities — from day-to-day operational upkeep of existing premises to leading construction, fit-out, MEP, and renovation projects for new and expanding sites. The role combines hands-on facilities management with end-to-end project management, ensuring every space reflects the brand's luxury wellness standards while operating safely, efficiently, and within budget.

This is a dual-mandate role: in operational mode, the holder safeguards member experience through preventive maintenance, vendor oversight, and compliance; in project mode, the holder delivers construction and fit-out works on time, on budget, and to specification. The Facility & Projects Manager is the single point of accountability for all physical infrastructure decisions across the Group.

A. Facilities Management (Day-to-Day Operations)

• Oversee daily operations and upkeep of all SEVEN and Gray facilities including gyms, spas, clinics, restaurants/cafés, treatment rooms, back-of-house areas, and external zones.
• Manage and maintain all building systems: HVAC, electrical, plumbing, lighting, BMS, fire and life safety, CCTV and access control, water features (pools, plunges, saunas, steam rooms), and audio/visual systems.
• Develop, implement, and continuously improve preventive maintenance schedules across all sites; log all activity in Asana.
• Conduct daily, weekly, and monthly facility walkthroughs and inspections; document findings and close out actions within defined SLAs.
• Ensure premium operational condition of all fitness, spa, and clinical equipment in coordination with suppliers and OEM service providers.
• Respond to fault reports and facility incidents promptly; manage emergency repairs with minimum disruption to members and operations.
• Maintain cleanliness, safety, and presentation standards in collaboration with Housekeeping, Branch Managers, and Operations Supervisors.

B. Projects, Construction, Fit-Out & MEP

• Lead all construction, fit-out, renovation, and MEP (mechanical, electrical, plumbing) projects across SEVEN and Gray, from concept through handover.
• Develop project briefs, scopes of work, drawings packages, BOQs, and tender documents in coordination with consultants, architects, and designers.
• Manage the full tender process: contractor pre-qualification, RFPs, bid evaluation, negotiation, and award recommendation.
• Supervise contractors and sub-contractors on site to ensure works are executed per drawings, specifications, brand standards, and approved timelines.
• Oversee MEP design coordination, installation, testing, and commissioning; verify compliance with local regulations and authority approvals (DM, Civil Defence, DEWA, etc.).
• Manage project budgets and cash flow; track variations, approve payment certificates, and ensure cost control without compromising quality.
• Prepare and maintain project programmes (Gantt charts in Asana or equivalent), monitor critical path activities, and proactively manage delays and risks.
• Coordinate with authorities and consultants for permits, NOCs, inspections, and final completion certificates.
• Lead snagging, de-snagging, testing, commissioning, and handover processes to operations teams.
• Maintain full project documentation: as-builts, O&M manuals, warranties, asset registers, and close-out files.

C. Health, Safety, Compliance & Risk

• Ensure full compliance with UAE health, safety, fire, and building regulations across all facilities and active projects.
• Conduct and document regular risk assessments and hazard identification exercises; implement mitigation measures.
• Lead emergency procedures including fire drills, medical response readiness, and business continuity for power, water, or system outages.
• Verify that all contractors and vendors comply with site safety standards, insurance requirements, and induction protocols.
• Maintain accurate incident logs and reporting in Asana; escalate serious incidents through the proper management chain.

D. Vendor, Procurement & Budget Management

• Build and manage a network of reliable contractors, MEP specialists, equipment suppliers, and service providers for both Group brands.
• Negotiate AMCs (annual maintenance contracts), service agreements, and project contracts to secure best value.
• Work with the Procurement and Finance teams to plan and control facility OPEX and project CAPEX budgets.
• Track all spend against approved budgets; provide monthly variance reports and forecast updates.
• Identify cost-saving and efficiency opportunities (energy, water, consumables) without compromising service standards.

E. Leadership, Reporting & Continuous Improvement

• Lead and develop the in-house maintenance and engineering team across SEVEN and Gray; set objectives, conduct reviews, and build capability.
• Act as the primary interface between facilities/projects and other departments (Operations, P&C, Finance, Marketing, Branch Managers).
• Provide weekly operational reports and monthly project status updates to the COO and senior leadership.
• Track and report on KPIs including equipment uptime, preventive maintenance compliance, response times, project on-time delivery, project on-budget delivery, and energy efficiency.
• Drive continuous improvement initiatives across facilities and project delivery; benchmark against luxury hospitality and wellness industry standards.

• Bachelor's degree in Mechanical, Electrical, or Civil Engineering, Construction Management, Facilities Management, or a related discipline.
• Minimum 7 years of combined experience in facilities management and project/construction management, with at least 3 years leading fit-out or MEP projects.
• Proven track record in the UAE market, with strong working knowledge of local authority approvals (Dubai Municipality, Civil Defence, DEWA, Trakhees, free zone authorities as applicable).
• Demonstrated experience in luxury hospitality, wellness, fitness, F&B, or high-end retail environments preferred.
• Strong technical knowledge of MEP systems, HVAC, pool/spa systems, building automation, and fitness/spa equipment.
• Proficiency in project management tools (Asana, MS Project, or equivalent) and standard office software.
• PMP, PRINCE2, or equivalent project management certification preferred.
• Fluent English; Arabic and/or Spanish a plus.

The role requires regular presence across all SEVEN and Gray facilities and active project sites. Standard working hours apply, with availability outside of standard hours for emergencies, critical works, and project handovers. Site work involves time in operational areas, plant rooms, rooftops, and construction zones; appropriate PPE is required at all times on project sites.
