1. HR Administration:
· Coordination of onboarding, transfers, and terminations
· Preparation and processing of employment contracts, addendums, and HR orders
· Maintaining and regularly updating employee personnel files
· Managing and monitoring annual leave schedules
· Ensuring timely submission of required employee documents
· Collecting and processing employee requests (leave, data changes, certificates, etc.)
· Preparing HR letters, notices, memos, certificates, and official requests
· Archiving HR documents (paper and digital) and maintaining proper document flow
· Monitoring document retention periods and compliance standards
· Maintaining and controlling HR data in SAP.
2. Payroll Support:
· Collecting and preparing accurate payroll data for the provider (2 off-cycle runs + final run)
· Verifying accuracy of payroll calculations (leave, sick leave, bonuses, compensations, etc.)
· Coordinating with external HR and payroll service providers
· Supporting employees regarding payroll calculations and deductions
· Preparing payroll approval reports for management
· Preparing payment data for the banking system.
3. Monthly Reporting:
· Preparing monthly HR data for EY
· Coordinating with EY representatives
· Preparing monthly HR reports for the Finance department
· Providing workforce, employee movement, and leave liability data
· Participation in data reconciliations
· Receiving and verifying recruitment provider data (FirCaspian) for invoice approval
· Reviewing service provider data for invoice processing
· Receiving invoices and preparing detailed breakdowns for payments
4. Employee Insurance Support:
· Acting as a liaison between employees and the insurance provider
· Collecting insurance claims and clarifying details
· Submitting employee requests and monitoring timelines
· Informing employees about corporate insurance programs
5. Immigration Support / TRP:
· Coordinating with immigration providers for issuance/renewal of TRP
· Collecting and submitting immigration documents
· Monitoring TRP validity periods and ensuring timely renewals
· Updating employees about immigration requirements and process stages
6. Employee Support & HR Advisory:
· Responding to employee inquiries regarding HR, documents, and leave
· Advising on HR processes and internal procedures
· Supporting new employees during onboarding
· Providing explanations of company policies and standards
7. Additional Reporting & Compliance:
· Preparing quarterly reports for local migration authorities
· Preparing quarterly reports for the Ministry of Employment
· Supporting compliance and regulatory requirements
· Preparing data for internal and external audits
· Ensuring adherence to corporate policies
· Process requests from India and MEA periodically.
