We are looking for a Senior Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.

What does a Senior Receptionist do?

  • Provide day-to-day guidance and ensure consistency of service and high standards across the reception function.
  • Support with the smooth onboarding, induction and basic training of new Reception staff to maintain unified procedures and expectations.
  • Support the recruitment process for new Reception staff by assisting with shortlisting and interviews, ensuring applicants experience a positive and professional first point of contact.
  • Act as the first point of reference for routine queries, offering clarification on established processes when required.
  • Help coordinate the workflow of the Reception desk to ensure tasks are completed efficiently and in line with existing protocols.
  • Assist in maintaining alignment of Reception practices by modelling expected standards and reinforcing agreed procedures.
  • Support the Deputy Head in ensuring continuity of reception operations, including passing on updates and routine communications.
  • Greet and welcome guests/parents/staff as soon as they arrive at the school
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Provide basic consultancy on what school offers
  • Close cooperation with Admissions function.

  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following health and safety procedures and controlling access via the reception desk (maintain a logbook, issue visitor badges)
  • Make a comprehensive registration of pupils, parents, school staff and contractors through data entry and maintenance of an electronic access register.
  • Collect personal data of the above categories in order to issue electronic passes.
  • Make up to date adjustments (redundant staff, barred access, etc.) to the electronic access register.
  • Submit applications for electronic passes issue.
  • Keep track of those present at school.
  • Provide weekly extract from the electronic access report on the arrival and departure of pupils, school staff and contractors.
  • Collect information about clients’ vehicles in order to form a vehicle access-control register.
  • Make up to date adjustments to the electronic vehicle access register.
  • Keep in contact with school clients on the relevance of the information they provide to get access to the school (if necessary, but at least every six months).
  • On a weekly basis, share obtained information about access control with the representative of the service company.
  • Make pupils registration.
  • Make time & attendance records for all pupils.
  • Complete and submit required documentation or electronic data as requested by school administration.
  • Assist the school administrative team during emergency/medical situations
  • Perform operations on ISAMS program
  • Efficiently manage and prioritise the complex demands of a wide range of duties and responsibilities
  • Make translation from English into Russian, and from Russian into English.
  • Provide other receptionist services such as filing, photocopying, transcribing and faxing.

The main requirements for the candidate:

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Fluent in English, Russian and Kazakh
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree

  • Type of contract: Permanent
  • Start date: mid of March, 2026
