Job responsibilities:
HR functions
- Maintain and update employee records, documentation, and HR databases.
- Support onboarding/offboarding processes, including document preparation and orientation scheduling.
- Assist in organizing HR-related files, contracts, and personnel documentation.
- Handle day‑to‑day HR administrative tasks such as business trip orders, leave tracking, data entry, and staff inquiries.
- Prepare HR reports and support compliance with internal policies and labor regulations.
- Help coordinate training sessions, meetings, and HR events.
- Collaborate with the HR team to ensure smooth and efficient HR operations.
Business Travels Management
- Approve and prepare travel orders.
- Sign and upload travel orders to SAP.
- Prepare and manage requests for hotels and flights.
- Search and book options within budget limits.
- Handle check-ins, registrations, and vouchers
Expense Management in Concur
- Collect and upload receipts to Concur (an expense management system).
- Prepare receipt descriptions and justifications.
- Upload for confirmation and closure.
Supplier Management
- Manage contracts with suppliers (related to GA).
- Coordinate approvals and signatures.
- Create vendor profiles.
Customs Clearance for GA-Related Products
- Collect and prepare necessary documents.
- Negotiate with brokers and manage parcels.
Processing Payment to GA-Related Suppliers
- Manage (confirm, receive, check, sign) documents for payment.
- Process payments in SAP system.
- Month-end closure in coop. with FA department
Other General Affairs (GA) Tasks
- Perform a variety of tasks related to general affairs to support daily operations.
- Assist in organizing company events.
- Actively communicate with suppliers regarding office maintenance tasks.
- Handle administrative duties and provide support to different departments as needed.
- Facilitate communication and coordination between departments.
Responsibilities of the Authorized Person for Personal Data Protection
- Ensure compliance with the legislation of the Republic of Kazakhstan on personal data protection, including the Law "On Personal Data and Their Protection".
- Monitor and control the proper collection, processing, storage, and destruction of personal data within the organization.
- Ensure the confidentiality and security of personal data, prevent unauthorized access, disclosure, or use.
- Authorize or deny access to personal data within the organization, based on established internal procedures and legal grounds.
- Promptly report any breaches or risks related to personal data security to senior management and initiate appropriate response measures.
- Organize and conduct training, briefings, and consultations for employees regarding the protection and proper handling of personal data.
- Develop and update internal policies, procedures, and documentation related to personal data processing and protection.
- Ensure timely anonymization or destruction of personal data after the retention period or when no longer needed.
- Control compliance with internal regulations related to personal data and conduct internal audits when required.
- Cooperate with authorized state bodies during inspections or investigations related to personal data protection.
Education:
- Higher education, post-secondary (secondary specialized, secondary vocational) education in the relevant specialty
Work experience:
- At least 2 years of relevant experience
Additional Skills:
- Proficiency in SAP and Concur systems.
- Competent skills in MS Office (Word,Excel,PPT).
- Minimum intermediate level of English.
- Korean will be an advantage.
