Job Title: SCSM Program Coordinator
Division: School of Computer Science and Mathematics
Position reports to: Dean of the School of Computer Science and Mathematics
Job Purpose Summary:
The SCSM Program Coordinator provides centralized administrative and academic coordination for the programs of the School of Computer Science and Mathematics. The Coordinator is a primary contact person for students, faculty, and relevant University units and supports the Dean and department chairs in the effective delivery and day-to-day operation of the School’s programs.
The job requires excellent organizational and planning skills and in-depth knowledge of academic policies, regulations, procedures, and the curricula of the School’s programs.
Key Responsibilities and Duties:
- Works closely with the Dean, department chairs, faculty members, and relevant University units;
- Advises students on academic decisions, including change of program, selection of majors and minors, exchange programs, transfer between institutions, registration procedures, curriculum requirements, and study planning, in coordination with the Dean, department chairs, and faculty;
- Develops the course schedule in consultation with the Dean and department chairs, determines proposed teaching assignments, prepares faculty workload distribution accordingly, and uploads the approved schedule to the registration system;
- Consults with the Dean and department chairs on changes to courses and programs, course scheduling, and graduation requirements;
- Prepares minutes, correspondence, memos, presentations, and other documents as requested;
- Exchanges information with University offices, students, faculty, and the general public regarding School programs, services, policies, and procedures; coordinates workshops, orientations, meetings, and other School activities, including logistics, timelines, materials, online support, facilities, and publicity;
- Collects and compiles statistical, financial, academic, and other data for regular and special reports, including information on student profiles, participation, performance, retention, transfers, program evaluation, and other relevant matters;
- Coordinates the administration of student intakes in cooperation with the Admissions Office;
- Maintains and updates program, curriculum, course, scheduling, accreditation, student, and faculty documentation in electronic and hard-copy formats;
- Supports the processing of course substitutions, transfer-credit evaluations, prerequisite waivers, and other academic requests;
- Supports student recruitment, orientation, advising, retention, and referral to relevant University services;
- Coordinates communication with students and faculty and responds to routine inquiries concerning SCSM programs, courses, policies, and procedures;
- Assists with the coordination and supervision of student assistants and other temporary support staff, where applicable;
- Supports institutional and program accreditation processes, including the collection, organization, verification, and timely submission of required evidence and documentation;
- Supports curriculum development and revision, including the formulation and alignment of program and course learning outcomes, curriculum mapping, and preparation of related documentation in consultation with the Dean and faculty;
- Prepares and presents curriculum proposals and revisions at Advisory Board meetings and other relevant committees, records recommendations, and coordinates the incorporation of approved changes into the curriculum and supporting documents;
- Reviews projected course offerings and student demand, identifies courses for which instructors are required, and submits staffing needs and relevant information to the Dean or Hiring Committee in a timely manner;
- Performs other related duties as assigned by the Dean.
Minimum Qualifications:
- Bachelor’s degree in Computer Science, Information Systems, Natural Sciences, or a related field from a recognized university;
- At least one year of experience in higher-education administration, academic advising, program coordination, or another relevant field;
- Strong leadership, organizational, planning, and time-management skills;
- Strong interpersonal communication skills with diverse groups, including staff, students, parents, and faculty;
- Excellent written and oral communication skills in English and Russian; knowledge of Kazakh is an advantage;
- Ability to coordinate and direct the work of others, where required;
- Experience using spreadsheets, charts, and a variety of computer software to collect, analyze, format, and present statistical and administrative data and reports;
- Creative, strategic, and analytical thinking with the ability to manage multiple tasks and projects;
- Good computer skills and proficiency in standard office software;
- Punctual, flexible, responsible, accurate, confidential, and customer-oriented.
Desirable Qualifications:
- Familiarity with different credit systems of higher education and transfer-credit procedures;
- Previous administrative experience at a higher education institution, preferably in a program related to Computer Science, Information Systems, Natural Sciences, or a related field.
