Key Responsibilities
- Inbox & Correspondence Management
- Monitor the Group General Counsel’s inbox under delegated access on a daily basis.
- Assess and prioritize incoming communications according to urgency and business impact.
- Escalate time-sensitive matters immediately.
- Summarize inquiries and correspondence into concise, actionable updates.
- Draft routine emails, correspondence, and responses.
- Respond directly to straightforward matters within delegated authority.
Task, Deadline & Matter Management
- Maintain and track task lists, to-do items, matter statuses, and action plans.
- Develop and update timelines for legal matters and strategic projects.
- Manage a forward-looking calendar of deadlines across all group entities.
- Proactively follow up on outstanding inputs, approvals, and responses from stakeholders and the Group GC.
- Ensure critical commitments and deliverables are completed on time.
Diary, Travel & Administrative Coordination
- Manage the Group GC’s calendar, meetings, and scheduling priorities.
- Coordinate international travel arrangements across Dubai, Moscow, Central Asia, and other jurisdictions as required.
- Organize logistics relating to legal documentation, including:
- Apostille and legalization processes
- Signature collection and routing
- Corporate filings
- Data room administration and access management
- Documentation tracking and record maintenance
Stakeholder Liaison & Information Gathering
- Act as a liaison between the Group GC and stakeholders across the Group, Kazakhstan operations, subsidiaries, and external advisers.
- Gather, verify, and consolidate information from multiple sources.
- Follow up with internal teams and external counterparties to ensure timely responses.
- Present information clearly, concisely, and accurately.
- Build productive working relationships with senior executives and advisors across diverse cultural and geographic environments.
Point of Contact
- Serve as the designated point of contact when the Group GC is travelling, unavailable, or otherwise engaged.
- Receive, assess, and summarize requests and inquiries.
- Resolve matters independently where authorized.
- Escalate sensitive or critical matters appropriately and in a timely manner.
Research & Executive Support
- Conduct first-pass research and drafting using the legal function’s AI and productivity tools.
- Perform quality checks on AI-generated outputs before submission to the Group GC.
- Prepare briefing notes, summaries, presentations, and background materials.
- Support ad hoc projects, strategic initiatives, and legal operations activities as required.
Requirements
- Native Russian speaker, Advanced English
- Sharp, proactive and fast
- Excellent administrative judgment
- Tech-comfortable - fluent with AI/LLM tools and modern productivity software; able to work within an established digital workflow.
- Clear, concise summariser, credible with senior stakeholders across cultures.
- A legal or professional-services background (law, paralegal, Big 4, compliance, corporate-secretarial) is an advantage
