Executive Assistant with HR & Admin Functions (E-Commerce, Jewelry Brand, Italy-Remote)
Format: Remote / Full‑time
Salary Range: €1,500–2,500 (net, depending on location & experience)

Growing E-commerce boutique jewelry brand (EU/UK/USA markets) is looking for a reliable, structured Executive Assistant who can also take on basic HR and administrative responsibilities as we continue to grow.
This is a new role: admin and HR tasks will be handled by this our new team-member. We need someone mature, organized, and proactive who enjoys working in a small business environment and can bring order, structure, and clarity.
Key Responsibilities
Executive Assistant:
Daily support to founders: coordination, follow‑ups, task tracking
Calendar management, scheduling, preparation of materials
Maintaining structured written communication (email, Telegram, Notion)
Organizing information flow between founders and the team
Admin & Operations:
Documenting and improving internal processes (SOPs, checklists, workflows)
Coordinating tasks across a small team (in‑house + freelancers)
Vendor coordination (designers, freelancers, service providers)
Light operational support across departments
HR (Light Volume):
Hiring 2–5 people over the next 3–6 months (mix of in‑house + freelancers) like graphic designers, 3D modelling, SEO, CJ Analyst, SMM roles
Posting vacancies, screening candidates, scheduling interviews, coordinating with recruitment agencies
Supporting onboarding and role setup
Helping describe operational processes for each employee
Assisting with basic HR documentation and reporting
Requirements
3+ years in administrative, coordination, or HR roles
Experience in small business or fast‑growing environments
Ability to structure chaos, organize processes, and keep things moving
Strong written communication (async‑first: Notion, email, Telegram)
Russian — fluent; English — B2+
Comfortable multitasking and switching between different types of tasks
Fast learner, able to research and understand new topics quickly
Experience with hiring (even small volume) is a strong plus
Notion + Google Workspace proficiency
