Position Summary
The Fleet & Safety Specialist supports both the operational health of our vehicle fleet and our DOT/FMCSA compliance and safety programs. This is a hands-on role for someone organized, detail-oriented, and eager to learn. No prior trucking or safety experience is required — we provide full training. If you're dependable, quick to learn, and comfortable working with drivers and records, we'll teach you the rest.
Key Responsibilities
Safety & Compliance
- Maintain full compliance with DOT and FMCSA regulations, including Hours of Service (HOS) and ELD requirements.
- Build and audit Driver Qualification (DQ) files; manage MVRs, medical cards, and license renewals.
- Administer the DOT drug & alcohol testing program, including FMCSA Clearinghouse queries and reporting.
- Monitor and improve CSA/SMS scores; address violations and BASIC categories proactively.
- Investigate accidents and incidents, manage claims, and implement corrective/preventive actions.
- Handle roadside inspections, violations, and DataQs challenges.
- Deliver driver safety orientation, ongoing training, and coaching.
- Support OSHA and general workplace safety compliance.
Fleet Management
- Manage preventive maintenance schedules, DVIRs, and repair tracking to minimize downtime.
- Coordinate with maintenance vendors, dealerships, and roadside service providers.
- Oversee vehicle registrations, IRP, IFTA, permits, titles, and insurance documentation.
- Administer and monitor telematics, ELD, and GPS systems.
- Track fleet KPIs — utilization, fuel, maintenance costs, and cost-per-mile.
- Manage fleet records, warranties, and asset lifecycle (acquisition to disposal).

No prior experience required — we will train the right candidate.
Required
- Strong organizational, documentation, and record-keeping skills.
- Attention to detail and a reliable, responsible work ethic.
- Clear communicator, comfortable working directly with drivers and vendors.
- Willingness to learn DOT/FMCSA regulations and fleet/safety processes.
- Proficiency with Microsoft Office / Google Workspace.
- Strong English and Russian.
