The school is seeking a School Receptionist to support daily operations and ensure smooth communication between students, parents, staff, and visitors. This role is essential for maintaining accurate attendance records, managing front desk activities, and creating a welcoming and well‑organized school environment.

Front Desk & Environment Management

  • Morning Preparation: Arrive no later than 7:30 a.m. to prepare the reception area for the start of the school day.

  • Visitor Relations: Greet students, parents, staff, and visitors in a polite and professional manner. Escort visitors within the school premises when required.

  • Area Upkeep: Maintain a tidy, professional, and welcoming entrance area throughout the day.

Communications & Administration

  • Channel Management: Handle daily correspondence and inquiries via corporate phone, email, and WhatsApp efficiently.

  • Information Distribution: Review incoming emails daily and promptly notify administration and teaching staff of important updates (e.g., events, student illnesses).

  • Documentation: Receive, register, and distribute medical certificates and official documents. Perform other administrative tasks as assigned by the school leadership.

Attendance & Student Logistics

  • Attendance Tracking: Record daily student attendance in the Toddle system. Monitor teachers' attendance logs, collaborate with homeroom teachers, and maintain staff attendance records.

  • Parent Follow-up: Contact parents to clarify absence reasons, update records, and post daily absence reports in designated WhatsApp groups.

  • Early Departures: Process early departure requests (before 3:30 p.m.) by securing approvals from the homeroom teacher, school doctor, and administration. Coordinate with security and remind parents that scheduling appointments during school hours is discouraged.

  • End-of-Day Procedures: Support student dismissal, ensure all students have been safely collected, and prepare the reception desk for the following day.

School Uniform Management

  • Sales & Documentation: Manage uniform sales, process payments, and prepare delivery notes for the Accounting Department.

  • Inventory Control: Monitor uniform stock levels and prepare purchase requests when inventory is low.

Requirements

  • Previous experience as a receptionist or administrator (experience in an educational environment is a strong plus).

  • Excellent communication, interpersonal, and customer service skills.

  • Proficiency in digital record-keeping systems and document management.

  • High level of responsibility, organization, and sharp attention to detail.

  • Ability to multitask effectively in a fast-paced environment.
