Job responsibilities:

  • Communication with the landlord, administrative issues;
  • Ensuring smooth office operations, including the purchase of office supplies, IT equipment, flowers, consumables, food, water, and other necessary items;
  • Organizing the receipt and control of inventory items;
  • Ensuring proper condition, control, and safety of office equipment;
  • Maintaining order in the office;
  • Preparing IT equipment for new employees;
  • Granting Yandex taxi access for employees;
  • Assisting in the coordination of organizational aspects of corporate events when required;
  • Preparing and entering purchase orders into the accounting system within the area of responsibility (including tickets and hotel bookings for all employees);
  • Сonfirming tickets purchases and hotel reservations for all employees;
  • Preparing contracts, amendments to current contracts, entering in Idocs system within the area of responsibility;
  • Registering new suppliers in the accounting system and maintaining the supplier database;
  • Working with primary accounting documents, ensuring their accuracy and timely preparation before submission to Accounting;
  • Monitoring invoice payments to suppliers within the area of responsibility;
  • Conducting inventory of office equipment;
  • Supporting and assisting employees in resolving issues related to the Company’s activities;
  • Archiving documents for the Accounting department;
  • Ensuring compliance with business communication standards, official subordination, and maintaining a correct and friendly communication style with colleagues and guests;
  • Performing other duties assigned by management related to the Company’s activities.
