🚀 Executive Assistant to the CEO | Qazaqstan Venture Group

We are looking for someone who thrives behind the scenes — the kind of person who makes everything run smoothly before anyone even notices it could go wrong.

As Executive Assistant to our CEO, you will be at the centre of everything: managing a complex calendar across time zones, preparing materials for Board and Investment Committee meetings, coordinating high-stakes investor visits, and keeping one of the most demanding schedules in the room under control.

This is not a traditional admin role. You will work directly with the CEO and senior leadership, handle confidential matters with full discretion, and be the person everyone in the office turns to when precision and speed matter most.

Core Responsibilities:

1. Executive & Calendar Support

  • Manage the complex calendar of the CEO and senior team, including meetings across multiple time zones, prioritization of engagements, meeting logistics, and coordination of confidential and high-level interactions.
  • Coordinate meeting preparation, including sending invitations, tracking confirmations, and organizing meeting rooms and online sessions.

  • Organize and coordinate the CEO’s participation in external events such as forums, conferences, and roundtables.

2. Meetings, Events & Communications Coordination

  • Organize and coordinate high-level meetings, including Board and Investment Committee meetings (logistics and organization), investor meetings, internal strategic sessions, and partner visits.

  • Prepare and format meeting materials, including agendas, briefing packs, and follow-up communications after meetings.

  • Edit, format, and track presentations and official documents.

  • Organize the reception of guests and visitors, ensuring a professional standard of interaction.

3. Travel & Logistics Management

  • Arrange domestic and international business travel.

  • Ensure smooth travel logistics for the CEO and key team members.

4. Correspondence & Information Flow

  • Coordinate incoming and outgoing correspondence.

  • Maintain organization and proper documentation within the CEO’s communications and files.

5. Vendor Management as per CEO request

  • Source vendors, support vendor selection, and monitor the quality of delivered services.

  • Coordinate the work of the PR agency in relation to the CEO’s personal brand.
