Office Manager / Executive Assistant (Operations Generalist)

We are looking for a highly organized and proactive Office Manager / Executive Assistant .
Key Responsibilities
Executive Support
- Manage the CEO's schedule, meetings, and business calendar.
- Coordinate appointments, travel arrangements, and priorities.
- Follow up on action items and ensure timely execution.
- Assist with personal and professional task management for the executive team.
Operations & Office Management
- Oversee daily office operations and administration.
- Monitor office supplies and procurement needs (printer paper, stationery, equipment, etc.).
- Coordinate payments related to office rent, utilities, communications, and other operational expenses.
- Ensure smooth internal processes and administrative efficiency.
HR Administration
- Support recruitment and onboarding activities.
- Prepare employment documentation.
- Coordinate employee hiring and offboarding procedures.
- Maintain personnel records and HR documentation.
- Assist with payroll calculations and salary accrual tracking.
Performance Tracking & Reporting
- Monitor employee task completion and performance indicators.
- Track productivity and efficiency metrics.
- Prepare analytical reports and management summaries.
- Maintain dashboards and provide operational insights.
Documentation & Communication
- Prepare meeting agendas and take meeting minutes.
- Maintain document flow and filing systems.
- Draft and manage business correspondence with partners, clients, agents, and stakeholders.
- Prepare presentations and business materials.
Social Media & Community Activities
- Manage company social media accounts.
- Create posts, updates, and announcements.
- Coordinate communication activities and maintain an active online presence.
- Assist with obtaining tokens and supporting community engagement initiatives within Astana Hub.
Requirements
- Bachelor's degree (all relevant fields are welcome).
- Strong command of English (C1 level or higher).
- Fluency in Kazakh and Russian.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- High level of responsibility and attention to detail.
- Ability to work independently and prioritize tasks effectively.
- Experience with presentations, spreadsheets, and reporting tools.
- Understanding of social media management and content creation.
- Professional written communication skills.
Preferred Qualifications
- Previous experience as an Office Manager, Executive Assistant, Operations Coordinator, or HR Administrator.
- Experience in startups or fast-growing companies.
- Graduates of Nazarbayev University will be given preference.
