Facilities management. Ensure the office space is well‑maintained, arrange for repairs, manage utilities, and oversee cleaning services.
Resource coordination. Order office supplies, manage inventory, and ensure equipment (printers, purifiers, coffee-machines,etc.) is functional and available.
Staff coordination. Assist with onboarding new employees, coordinate internal communications, and support team collaboration.
Budget management. Monitor and control office‑related expenses, prepare budget reports, and track spending against allocated funds.
Vendor and contractor management. Negotiate contracts, liaise with external service providers (IT, cleaning, security, etc.), and ensure service‑level agreements are met.
Health and safety compliance. Support and oversee workplace safety policies.
Visitor and reception management. Greet visitors, manage appointments, and coordinate guest access and hospitality.
Process improvement. Identify inefficiencies in office workflows and implement solutions to boost productivity and reduce costs.
Requirements:
Work experience as an office manager or secretary for at least 3 years.
A confident PC user, knowledge of basic office software (MS Word and MS Excel) skills of working with office equipment.
Knowledge of English is at least upper-intermediate level.
The ability to work in a team, attentiveness, responsibility.
Good oral and written communication skills.
