About the Role

MagicBox is a technology-driven 3D visualization studio that transforms complex architectural concepts into photorealistic imagery for leading U.S. developers.

To support our growing portfolio of American clients, we are seeking a highly organized and proactive Architectural Project Coordinator. In this role, you will collaborate closely with US-based customers and our internal production teams to ensure smooth project delivery, clear communication, and exceptional visual outcomes.

Because a core part of the position involves reviewing and interpreting technical architectural documentation (plans, elevations, sections, specifications), a background in architecture, interior design, construction, or a related field is strongly preferred.

As most of our clients operate in the United States, the role requires up to 4 hours of overlap with U.S. Eastern Time for email communication and occasional support calls. Strong written and spoken English skills are essential.

Key Responsibilities

Act as the primary operational contact for clients, ensuring clear, professional communication throughout the project lifecycle.
Share project updates, deliverables, and clarifications via email and the client-facing project portal.
Join kick-off and review calls to confirm requirements, align expectations, and gather essential input.
Collect, review, and clarify architectural documentation (plans, elevations, FF&E, materials) to ensure accurate project execution.
Prepare structured task packages for artists, including documentation, references, and proposed camera angles or lighting setups.
Plan project timelines and allocate tasks, coordinating with internal teams and freelancers based on workload and skill sets.
Maintain project workspaces and collaboration tools (Slack, NAS/Drive folders, Miro, Airtable), ensuring all teams have up-to-date information.
Track progress, time spent, budgets, and project statuses, supporting accurate reporting and predictable delivery.
Manage feedback and revision cycles using ZiFlow, clarifying client comments and filtering them into actionable tasks.
Conduct final quality checks on deliverables, escalating complex cases to Quality Assurance and ensuring assets meet client expectations before delivery.

Required Skills & Qualifications

Strong English proficiency (Upper-Intermediate or higher) – ability to participate in English-speaking calls with US clients and write clear, professional emails.
Education or experience in architecture, interior design, civil engineering, or construction – ability to understand architectural drawings (plans, elevations, sections) and translate them into actionable tasks.
Experience in project coordination, ideally within a creative, architectural, or 3D visualization environment.
Strong communication skills (written and verbal).
Ability to manage multiple tasks and projects simultaneously.
High attention to detail and excellent organizational abilities.
Comfortable working across time zones and with international clients.
Familiarity with visualization workflows, CGI production, or architectural visualization tools (a plus, not required).
