Trips & Co-Curricular Activities Coordinator

We are seeking a dedicated and organized CCA & Trips Coordinator who will be responsible for enhancing our co-curricular activities and school trips program. The CCA & Trips Coordinator will work closely with the Senior Leadership Team and other stakeholders to ensure the successful planning and execution of all activities.

Type of contract: Temporary (Maternity Cover)

Responsibilities:

• Create a pupil-focused termly schedule of high-quality activities, ensuring a balance of Academic, Physical, Creative, and Service CCAs.
• Schedule Haileybury Astana staff effectively for smooth running of the CCA program.
• Identify and engage external providers to enhance CCA provision, ensuring they meet safeguarding and contractual responsibilities.
• Liaise with the Senior Leadership Team (SLT) and Director of Sport regarding scheduling and availability of facilities.
• Develop Standard Operating Procedures for the CCA program.
• Advertise and market the CCA program to parents and pupils in coordination with the marketing department.
• Create high-quality presentation materials (brochures, presentations, promotional videos) regarding CCAs.
• Communicate clearly and professionally with all stakeholders.
• Manage the program budget according to priorities.
• Monitor and evaluate the quality of CCAs, including observing, tracking attendance, and gathering stakeholder feedback.
• Maintain accurate records related to CCAs, including pupil participation rates and attendance figures.

• Oversee the planning and coordination of business trips for Haileybury Astana staff members.

Requirements:

Education and Experience:

• A higher professional education and a minimum of 3 years of work experience in a relevant field.

Skills:

• Strong working knowledge of the travel industry.
• Excellent decision-making and organizational skills with attention to detail.
• Ability to manage change and work under pressure.
• Exceptional communication and interpersonal skills, with the ability to inspire both adults and students.
• Proficient in MS Office or related software.
• Effective communication and engagement with children and their families.
