Job Summary:
We are seeking a proactive and detail-oriented Visa and Work Permit Specialist to manage the full cycle of immigration processes for foreign employees, including visa applications, residence registration (propiska), and preparation of employment contracts and related onboarding documentation. This role also provides administrative and reporting support to the HR department, ensuring full compliance with Uzbek labor and migration laws.
Key Responsibilities:
1. Visa & Immigration Support
Prepare and submit invitations and visa applications for foreign nationals.
Ensure the completeness and accuracy of all documentation required for visa issuance and renewal.
Communicate with the Ministry of Foreign Affairs (MFA), the Ministry of Internal Affairs (MIA), and other regulatory bodies.
Track visa expiration dates and initiate renewal procedures on time.
2. Residence Registration (Propiska)
Register foreign employees with local authorities upon arrival.
Monitor deadlines and process extensions or renewals of temporary residence permits.
Maintain accurate records of the "propiska" for each foreign employee.
Represent the company during government inspections related to registration and compliance.
3. Employment Documentation & Onboarding
Prepare and sign employment contracts for foreign employees following Uzbekistan’s Labor Code.
Collect and verify a complete set of employment documents:
Passport and visa copies
Propiska (residence registration)
Work permits (if applicable)
Medical certificates and other required forms
Ensure timely onboarding in coordination with HR and legal teams.
Submit documents to the appropriate authorities if necessary.
4. HR Department Support
Support the HR department in day-to-day administrative tasks, especially for foreign personnel.
Assist in maintaining up-to-date personnel files.
Help with organizing orientation and integration of new international employees.
Translate documents from English/Russian to Uzbek (and vice versa) as required.
5. Reporting and Compliance
Maintain and update internal databases related to foreign employees’ status.
Generate regular reports on visa, registration, and contract status for internal and external use.
Ensure compliance with internal policies and all national laws and regulations related to employment and immigration.
Provide recommendations and process improvements to minimize legal risks.
6. Other Duties
Assist in the development of internal policies and procedures related to foreign staff.
Serve as the main contact point for foreign employees on visa, residence, and documentation issues.
Liaise with embassies, consulates, migration services, and external legal consultants when necessary.
Perform other related tasks assigned by management.
Requirements:
Bachelor’s degree in Law, Human Resources, International Relations, or related field.
Minimum of 1 year of experience in visa, immigration, or HR-related work (experience with government bodies is a plus).
Strong understanding of Uzbek immigration and labor legislation.
Excellent organizational and document management skills.
Strong communication and interpersonal abilities.
Fluency in English, Uzbek, and Russian is required.
Proficiency in Microsoft Office (Word, Excel, Outlook).
