Job Description
The Specialist performs the following duties and responsibilities:
- Supporting the organization and facilitation of educational and student events related to the Master of Public Policy (MPP), Master of Public Administration (MPA) and Doctor of philosophy in Public Policy (PhD) programmes such as overseas component, orientation programme, student trips, graduation ceremony, others in cooperation with the School and other structural divisions of the University;
- monitoring the preparation and readiness of the educational tools/IT equipment for the MPP and MPA classes;
- support in organization and carrying out of local and international seminars and conferences in liaison with the strategic partner of the School, other structural divisions of the University and third party organizations;
- supporting in organization of arrival and departure of faculty of the School and the strategic partner of the School, visiting professors and speakers (organization of arrival, accommodation (on-campus), preparing requests for temporary IDs, temporary University account and email address, access to Registrar and Moodle, workplace arrangement, receiving of postal correspondence, providing transport, organizing pre-conference briefings and/or post-conference de-briefings and seminars, etc.);
- preparation and keeping track of reimbursement requests of international academic staff, visiting professors of the strategic partner and guest speakers in accordance with basic Social policy trends of the University;
- monitoring of School classrooms, room-booking;
- arranging the sessions, panels and other meetings held by the School management (collection of necessary materials, notification of participants about the time and venue, agenda, their registration);
- preparation of requests for stationery, business cards and other office supplies;
- to control management and storage, condition and safety of Scholl’s documents before submission of them to the University Archive;
- to transfer files to the Archive according to the File Register of the School;
- to develop annual draft File Register of the School;
- to maintain document management of the School;
- to issue, keep, store blanks of the University to be protected in the School;
- participation in identification, evaluation, management and monitoring of risks within the framework of supervised direction;
- temporary performs the duties (replaces) of Specialist (research administration) of the Graduate School of Public Policy during his/her temporary absence (up to one month);
- timely and properly executes the tasks of the line manager and the University`s management
Qualifications
Knowledge
- knowledge of basics of document and records management;
- the ability to systematize the consolidation of information;
- knowledge of educational system in the field of Public Policy and Public Administration in Kazakhstan and abroad;
- knowledge of credit system in higher education institutions;
