Role Overview
As an Office Manager
, you will ensure the smooth operation of the office by managing daily administrative tasks, handling office supplies, and organizing and participating in team events.
You will be the main point of contact for employees’ needs and will coordinate with contractors to maintain the office.
You will be responsible for creating and maintaining a well-organized, efficient, and comfortable working environment for our employees.

Location: Minsk
Format of work: full-time, in-office with flexible start times

What You'll Do:

  • provide the office with necessary supplies: order water, snacks, dairy products, stationery, and other supplies;
  • manage office costs: plan the budget and pay with the company card;

  • purchase corporate IT equipments, such as laptops, computers, and other devices;
  • coordinate office work: help employees with equipment problems (coffee machine, lights, office devices) and communicate with contractors;

  • oversee cleaning and office greenery;

  • handle mail: receive and send correspondence on time;

  • support office equipment: monitor the condition of printers, cartridges, and manage maintenance by working with contractors;

  • participate in organizing corporate events and gifts: help with ideas and finding contractors for events and gifts, and assist in organizing team-building activities and celebrations, decorate the office;

  • manage the benefits program: check payments, help employees use the program, and keep information updated;

  • manage office access: issue proxy cards to employees and control access to the office.

What We Expect from You:

Hard Skills

  • at least 1 year of experience in a similar role (office manager, administrator, assistant);

  • experience working with contractors (cleaning, plants, etc.) and ability to quickly find the right specialists for specific requests;

  • confident use of office programs (MS Office, Google Docs, Excel);
  • experience working with corporate card, office budget, and reporting;

  • experience organizing corporate events (birthdays, holidays, team building) and choosing gifts;

  • english at least at B1 level (for written communication with international contractors).

Soft Skills

  • excellent organization and attention to detail; ability to work on several tasks at the same time;
  • initiative: desire to improve processes and contribute to the development of the office;

  • great communication skills, ability to get along well with colleagues and contractors.

Nice to have:
  • experience working with benefits programs (insurance, sports, English courses, and others).
