We’re looking for a sharp, proactive, and resourceful Personal Assistant to support the Founders of Allformance — a global data-driven media consultancy and AIFormance, their fast-growing AI-powered tool for ensuring TikTok ad compliance.

This role is a mix of 70% business support and 30% personal tasks. You’ll manage calendars, orchestrate international travel, prepare reports and presentations, and take ownership of special projects — from strategy sessions to the annual client gifting campaign. At the same time, you’ll occasionally step in on personal requests to keep the Founders’ lives running smoothly.

The environment is international, fast-moving, and entrepreneurial. Processes aren’t always defined, which means the ideal candidate is someone who enjoys taking initiative, proposing solutions, and ensuring that tasks move forward with precision.

  • Speak fluent English (C1+) and native Russian, confident in handling calls, emails, and partner interactions at all levels.
  • Are highly organized, reliable, and detail-oriented, but also comfortable working in an evolving, startup-style environment.
  • Can take a loosely defined task and return with structured options and recommendations.
  • Balance professionalism with a personable approach, building strong working relationships.
  • Bring energy, proactivity, and a genuine sense of ownership to your work.

Your role:

Task distribution: 70% business, 30% personal

  • Manage and align complex calendars for two Founders.
  • Organize strategy sessions, internal meetings, and events — prepare agendas, take minutes, and follow up on actions.
  • Coordinate international travel (flights, hotels, transfers, itineraries).
  • Prepare reports, documents, and polished presentations.
  • Track deadlines and ensure timely execution of tasks.
  • Coordinate team expenses and reimbursements.
  • Own specific projects end-to-end (e.g., the annual client & team New Year gifting campaign).
  • Conduct research on potential partners, vendors, or industry services.
  • Support company setup and startup-related tasks, ensuring smooth communication between backoffice and leadership.
  • Handle occasional personal tasks (e.g., drafting official letters, organizing paperwork, scheduling appointments).

How your day might look:

  • Review both calendars, identify overlaps, and realign priorities. Prepare briefing notes for an upcoming strategy session and ensure all pre-read materials are submitted.
  • Finalize logistics for an international conference: book flights, arrange transfers, and confirm hotels. Prepare a detailed itinerary for the Founders.
  • Consolidate inputs from several colleagues into one clear document and share it ahead of a client meeting.
  • Between business tasks, handle a personal request — such as sourcing a reliable service provider locally and arranging the appointment.

You’re the one if:

You have 4+ years’ experience as a PA/EA, Operations Specialist, or Project Manager.

You’re fluent in English (C1+) and Russian (native).

You’re based in Europe (or nearby timezone) with Schengen access for travel, and open to occasional business trips with the team for conferences and events.

You’re confident with Google Workspace, Slack, Miro, CRM systems, and know how to build clear, compelling presentations.

You’re proactive, structured, and solutions-oriented — you don’t just complete tasks, you make them better.

(Nice-to-have) You have facilitation skills and can support workshops or strategy sessions.
