JOB PURPOSE
The Office Administrator ensures the smooth, compliant, and efficient operation of a multinational office by coordinating cross-region activities, travel, vendor relationships, and HR support. This role keeps facilities, communications, and processes running reliably, enabling teams to focus on core business objectives while maintaining security, regulatory compliance, and high-quality stakeholder service.
Responsibilities:
- Organize daily office operations and ensure supplies are maintained.
- Organize domestic and international business trips: book hotels and tickets; coordinate with travel agency
- Prepare contracts, letters to partners, manage incoming/outgoing correspondence, work with courier services.
- Plan and organize office events and celebrations.
- Maintain company legal, HR documents, contracts etc.
- HR-Related Tasks: work with HR Manager, payroll team (timesheets, new hires, terminations, leave, data changes), handle HR documentation, new employees onboarding, internal communication mails, managing employee insurance processes
- Process purchase orders (PO), goods receipts (GR), and invoices. Assist with basic finance-related administrative tasks
Requirements:
- Bachelor’s degree in finance, economics, business administration or any related field.
- 1-3 years as office administrator or similar;
- Strong organization, multitasking, communication, and attention to details;
- Knowledge of MS Office programs
- Basic budgeting, expense reporting and contract administration.
- Basic knowledge of data privacy and health/safety;
- Proactive, cross-cultural communicator, reliable, and adaptable;
