We are hiring a Front Desk Officer/Customer Care Officer

The Front Desk Officer/Customer Care Officer (FDO/CCO)

assures maximum satisfaction of our internal and external customers by managing their expectations in order to achieve the objective of creating retained, loyal customers. The FDO/CCO handles the day-to-day operations of the Language Center and performs administrative functions. Other key responsibilities include supporting retention and acquisition sales functions and tracking marketing activities.

Customer acquisition activities

· Handles initial inquiries (direct & indirect)

· Hands out the Advisory Interview Form (or Inquiry Form?)

· Keeps and passes on inquiry data and statistics

· Schedules appointments for interviews

· Follows up no-shows, appointments and inquiries

· Supports and tracks local marketing activities and promotional events

· Conducts sales activities through enrollment

· Forms and manages groups

· Follows up on unconverted inquiries and inactive customers

· Accepts translation or interpretation orders

Customer retention activities

· Reactivates enrolled students

· Maintains positive customer relations and ensures customer satisfaction

· Conducts customer orientations

· Ensures optimal Language Center appearance

· Encourages customer re-enrollments

· Schedules lessons for customers and instructors

· Schedules and conducts student consultations and counseling

· Tends to students’ or instructors’ schedule and minor requests

Operations

· Sorts and distributes/disseminates incoming mail (post or email)

· Enters and manages customer information in LCMS

· Prepares invoices, collects customer payments and handles other accounting activities (i.e., sales detail enrollment report)

· Handles payments for cash/checks/credit cards, bank deposits, transfers and repayments

· Issues and files manual and LCMS generated receipts

· Keeps track of instructor’s extra inputs (Progress Reports / Placements / Demos / Travel Units / Translations)

· Prepares teachers’ payroll· Prepares reports and required documents for LCMS posting

· Issues and files Material Vouchers (LCMS generated)

· Maintains correspondence with customers

· Answers the telephones, emails and other messages in person or online

· Corresponds with customers to provide information about products or services, take or enter orders, cancel accounts, or obtain details of complaints

· Manage LC traffic

· Prepares pedagogical cards

· Collects and files surveys (instructors / students)

· Manages LC directory database (companies / instructors / students / staff)

Additional responsibilities

· Handles filing

· Offers customers food and beverages (for specific situations)

· Develops local marketing activities

· Support special programs, efforts, activities of the LC
