Job Purpose:
The Assistant Registrar plays a vital role in maintaining the accuracy, integrity, and efficiency of all Registry operations, including student records management, registration, enrolment certification, timetabling, and compliance with university policies. In addition, the Assistant Registrar contributes to delivering student academic support services and acts as the Registrar’s delegate when needed, ensuring uninterrupted service and operational continuity.
Key Responsibilities
1. Registry Operations
Maintain accurate student records in compliance with data protection regulations.
Oversee student registration, module enrolment, and monitor academic progression.
Prepare and issue official documents such as enrolment certificates and transcripts.
Coordinate academic timetables and manage teaching space allocations.
Generate reports on enrolment, progression, and graduation for planning and compliance.
Act as Secretary for key academic committees, including Extenuating Circumstances and Student Discipline.
Manage academic room bookings and maintain the online booking system.
Serve as point of contact for student and faculty queries related to registry functions.
Support audits and accreditation processes with accurate data and reporting.
Contribute to reviewing and improving registry policies and procedures.
Provide translation of official documents and committee materials when needed.
Organise student and faculty meetings, ensuring proper documentation and follow-up.
2. Academic Support
Coordinate tutoring, mentoring, and academic coaching sessions.
Maintain the Academic Support webpage and assist in preparing learning resources.
Guide students on academic support services and procedures.
Monitor engagement with support services and assist in reporting outcomes.
Promote academic support services via communications and events.
Collaborate with the Head of Academic Support to align services with student needs.
3. Registrar Delegation
Act as Registrar during periods of absence, ensuring smooth operation and decision-making continuity.
