1.Import and Customs Clearance
Manage the import and customs clearance process for the Russian subsidiary. Coordinate with headquarters, international freight forwarders, customs brokers and warehouses; prepare and review commercial invoices, packing lists, contracts, certificates, draft customs declarations and other supporting documents; monitor customs clearance progress and resolve documentation discrepancies and customs-related issues.
2.Order Fulfillment and Customer Delivery
Execute sales orders and arrange deliveries from the Russian subsidiary to distributors and end customers. Prepare or coordinate invoices, UPDs, delivery notes, packing lists and other applicable documents, and follow up on transportation, customer receipt and proof of delivery.
3.Warehouse and Inventory Management
Manage the daily operations of third-party warehouses, including inbound and outbound shipments, inventory records, batch and expiry-date management, inventory reconciliation and periodic stock counts. Follow up on and resolve inventory shortages, damaged goods, expired products and other inventory discrepancies.
4.System Data Entry
Ensure that sales orders, delivery documents, warehouse transactions and inventory data are entered into the relevant systems accurately and on time, in accordance with company procedures.
5.Service Provider Selection and Cost Management
Source, evaluate and manage customs brokers, logistics providers, transportation companies and warehouse service providers for the Russian subsidiary. Collect and compare quotations, monitor service quality, verify related invoices and costs, and submit them for internal approval.
6.Quality System and Documentation Management
Maintain order- and logistics-related documents required under the quality management system of the Russian subsidiary. Compile, organize and archive electronic and paper records to ensure that all order, delivery and logistics documents are complete, accurate, traceable and audit-ready.
7.Office Administration
Manage the basic daily operation and maintenance of the Russian subsidiary’s office, including office supplies, facility maintenance, local service providers and other routine operational matters.
Qualifications:
1.Bachelor’s degree or above in International Trade, Logistics, Supply Chain Management, International Business or a related field.
2.At least three years of relevant experience in import operations, customs clearance coordination, international logistics, warehouse operations or supply chain management in Russia.
3.Familiarity with Russian customs clearance procedures, import documentation, domestic transportation and third-party warehouse management.
4.Professional working proficiency in English or Chinese. Fluent Russian is required.
5.Proficiency in Microsoft Excel and experience with 1C, ERP, WMS or similar business systems.
6.Strong attention to detail, document-management skills, cost awareness, communication and coordination skills, and the ability to work independently.
7.Experience in medical devices, IVD, pharmaceuticals, temperature-controlled products or other regulated industries is preferred.
