We are looking for an
Executive Assistant to support Finance Leadership Team and ensure a structured, efficient operating rhythm within the Finance function. This role sits at the intersection of executive support, financial operations, and cross-functional coordination, enabling data-driven decision-making and smooth execution in a multi-country setup.
While Cyprus is the preferred location, we are open to candidates based in European time zones.
Key Responsibilities
Executive & Financial Operations Support
- End-to-end calendar management for Finance Leadership, including prioritization, coordination across time zones, and preparation for key financial and governance meetings.
- Full coordination of complex international business travel for Finance Leadership Team.
- Preparation, submission, and tracking of travel and expense reports in line with internal finance policies; coordination with Accounting and external providers.
- Administrative and operational support of daily Finance leadership activities.
- Ongoing communication with external stakeholders (auditors, advisors, partners), including scheduling, follow-ups, and documentation support.
- Collection and organization of financial receipts, expense documentation, and claims; monitoring approval statuses and resolving discrepancies.
Finance Business Rhythm & Coordination
- Cross-functional coordination with Accounting, FP&A, Legal, HR, Tax, Procurement, and Operations teams.
- Gathering, structuring, and preparing materials for financial reviews, budget discussions, forecasting cycles, management committees, and executive leadership sessions.
- Tracking key finance initiatives (budgeting, reporting cycles, audits, compliance activities) and monitoring deadlines and deliverables.
- Preparing and reviewing presentations, financial decks, reports, meeting agendas, and minutes.
- Supporting recurring Finance rhythms: monthly closes, quarterly reviews, annual planning cycles, and follow-ups on action items.
- Assisting in the organization of finance offsites, strategy sessions, and internal finance events.
Skills, Knowledge and Expertise
Education & Expertise
- Bachelor’s degree in Business Administration, Finance, Economics, Management, or a related field.
- 5–7 years of experience in executive support, finance operations, or business operations roles within international, fast-paced organizations.
- Proven experience supporting senior finance leadership and coordinating across multiple time zones.
Technical & Professional Skills
- Advanced proficiency in MS Office / Google Workspace, particularly Sheets/Excel and Slides/PowerPoint.
- Hands-on experience with travel and expense management systems (Concur, SAP, Expensify, Zoho, or similar).
- Familiarity with finance-adjacent tools and collaboration platforms (ERP environments, Notion, Asana, Jira, Slack, MS Teams).
- Strong ability to structure data, track processes, and support financial reporting and internal coordination.
- English proficiency at B2 level or higher.
