Personal Assistant (remote, part time)
Position Key Goal
Provide comprehensive administrative, organizational, and operational support to the Executive to ensure efficient time management, smooth coordination of daily activities, and effective execution of personal and professional tasks.
The Personal Assistant acts as a key point of contact, ensuring structure, confidentiality, and proactive problem-solving in all matters.

Job Functions
1. Travel & Logistics Coordination (Primary Responsibility)
This is the most critical part of the role and requires exceptional speed, accuracy, and VIP-standard service.
Arrange complex international travel, including flights, accommodations, transfers, and visa-related documentation.
Book and manage services: meet-and-assist, concierge requests, airport VIP services , and personalized support.
Make urgent ticket changes, cancellations, rebookings, and upgrades with minimal delay.
Communicate directly with airlines, concierge services, and travel partners to resolve issues quickly and efficiently.
Research, select, and book premium hotels based on required service standards.
Reserve high-end restaurants, experiences, and services according to the Executive’s preferences.
Prepare comprehensive travel itineraries with all relevant confirmations, times, contacts, and logistics.
2. Document & Administration Management
Maintain and manage a detailed and accurate calendar for the Executive and the family, ensuring correct scheduling of business and personal commitments.
Maintain an organized system of files, contracts, receipts, personal documents, and travel records.
3. Personal & Household Support
Organize and schedule medical appointments for the Executive and family members.
Research, select, and coordinate educational support such as tutors for the teenager.
Monitor and track personal payments, renewals, memberships, and upcoming deadlines.
Coordinate household-related services and external contractors when necessary.
Confidentiality & Professional Conduct
Handle all personal, family, and corporate information with strict confidentiality.
