Метро: НемигаGP Solutions is looking for an Office Manager/Personal Assistant.
Working place: Reception, Address. 16b, Rakovskaya Str, Minsk.
Working hours: from 9 AM till 6 PM;
Candidate's location: Minsk.
Responsibilities:
Office management tasks:
search of necessary information;
search for contractors both in Belarus and abroad, communicating with them;
office supplies management (stationery, household goods, groceries, water), organization of daily orders’ delivery;
work with external and internal phonecalls and correspondence;
maintaining office comfort (watering plants, ensuring the kitchen is stocked with necessary items, etc.).
Top management and staff assistance on different matters.
Assisting HR/PR departments with the benefits program and other activities.
Assisting with employee benefits (sport, medical insurance, English lessons, etc.) to financial department.
Business trips organization:
selecting and booking flights/ trains/ buses and hotels;
supporting employees during business trips;
working out an itinerary based on the schedule of meetings;
preparing documents for visa applications;
consulting on visa issues.
Requirements:
1 year+ of experience as a Travel Agent or a Personal Assistant or an Office Manager;
upper-intermediate English level (German or Polish will be a plus;);
experience of traveling and business trips organization to different countries;
proficiency in Excel and Word + Google (Forms, Drive, Sheets);
excellent communication and time-management skills;
experience of using AI tools will be a plus;
pro-active approach, stress resistance;
ability to work on several tasks simultaneously.
