Hi! My name is Elena Volkova, and I’m looking for a production assistant to join our team.
About me
I’m the co-founder of the podcast studio "Zavarili" (Russia) and "Hatch Up" (Portugal). We created the first reality podcast about entrepreneurship in Russia — "Zavarili Business" — along with many other high-profile projects. Today, we work across multiple markets, including Portugal, the US, and the UAE, producing podcasts in both Russian and English.
Key responsibilities
Handle business correspondence, primarily in English.
Manage CRM: send follow-up emails and reminders to clients when conversations have stalled.
Maintain and monitor the corporate calendar. For example: schedule meetings with clients while accounting for time zone differences; add events with all links, addresses, and travel times included; make adjustments if schedules change; remind all participants so no one misses a meeting.
Organize offline meetings. For example: coordinate a recording slot for a host in Portland and a guest in Amsterdam; research video studios in both cities that meet technical requirements; book them for the right time; ensure both the host and guest arrive at the correct location without confusion.
Keep track of deadlines. For example: if the final edit is due to the client by the 15th, and the rough cut must be ready by the 10th, your job is to remind all team members in the chain so deadlines aren’t missed.
Additional tasks (secondary priority, only if time allows):
Sort and respond to emails.
Oversee the SMM content calendar and publish posts on schedule.
Draft posts based on provided materials.
Conduct research on podcast guests using our template, collecting facts and biographical details.
Handle one-off operational requests like “Please set up the integration between AMO CRM and Trello.”
This role is a fit for you if you:
Are naturally detail-oriented — you don’t send the wrong link or mix up time zones.
Never miss deadlines, are highly disciplined, and keep track of tasks.
Communicate warmly and professionally in a business context.
Are confident in written English and able to handle professional correspondence.
Are comfortable with daily routine tasks.
Always strive for quality — you simply can’t do a task poorly.
Can work on a flexible schedule but remain available on weekdays between 9:00 and 20:00 WEST.
Have experience with or can quickly learn tools such as Zoom, Google Calendar, Riverside, Calendly, AMO CRM, Tilda, LinkedIn, Miro, Notion, Trello, and ChatGPT. These are standard tools for scheduling, client management, research, and business communication.
What we offer
Base rate: €800 (final compensation to be discussed with the selected candidate depending on experience and available working hours).
Payment options: euros, rubles, or crypto.
Fully remote position.
Flexible working hours (on average, 4–8 hours per day, depending on our agreement — you decide when exactly to complete tasks).
