⚠️ Important: This role is open only to candidates already based in Italy (ideally Northern Italy). No relocation is provided. Applications from other countries or regions will not be considered.
We’re looking for a sharp, proactive, and reliable Senior Personal & Family Assistant to support an experienced entrepreneur and investor based between Milan and Venice.
This is a true “COO of life” role — you’ll take ownership of personal, family, property, and light business operations, ensuring the principal and his family can focus on what matters most.
The environment is international, fast-moving, and dynamic. You’ll need to combine structured systems thinking with warmth, discretion, and the ability to anticipate needs before they arise.
We’re a good match if you:
  • Speak fluent Russian (non-negotiable) and English and Italian at B2+.
  • Have 4+ years of experience as a Personal/Family Assistant, Family Office Manager, or Executive Assistant.
  • Are highly organized, solutions-oriented, and confident in building systems from scratch.
  • Balance friendly informality with professional boundaries and absolute discretion.
  • Are based in Northern Italy (Milan/Bergamo/Brescia/Verona/Vicenza/Padova/Venice) and flexible to cover Milan–Venice within ~2 hours.
  • Are confident with Notion, Miro, ChatGPT, Google Workspace, and modern productivity tools.
Your role:
Life & Household (30%)
  • Manage calendars, priorities, errands.
  • Oversee household vendors and services in Milan (and later Venice).
  • Organize moves and setups.
Family & Care (25%)
  • Coordinate doctors, check-ups, and school logistics.
  • Be first call in emergencies, support family needs.
  • Remember routines, dates, and gifting.
Travel & Properties (20%)
  • Plan and book international/national trips.
  • Oversee properties in Milan and Lake Maggiore.
  • Liaise with agencies, manage maintenance.
Money & Documents (15%)
  • Stay on top of payments and bills.
  • Support banks, KYC, and tax preparation.
  • Keep documents and IDs organized (digital + physical).
Projects & Lifestyle (10%)
  • Research courses, arrange coaching and events.
  • Build networks and find communities in Milan and Venice.
A day in this role might look like:
  • Align the principal’s calendar, coordinate a family medical appointment, and handle a property maintenance issue — all before lunch.
  • Finalize logistics for a Venice relocation and prepare a trip itinerary.
  • Pay outstanding bills, update records in Notion, and arrange a surprise gift for a family birthday.
