Office Administrator – Luxury Real Estate Agency (Dubai, Emaar Business Park)
We are a boutique luxury real estate agency with 30 years of international experience (Moscow / Dubai).
To support our Dubai office, we are looking for a Filipina Administrator with excellent organizational skills and knowledge of the UAE real estate market.

Key Responsibilities
Office & Administrative Support
• Handling inbound calls and client inquiries, registering leads into CRM (AmoCRM).
• Preparing contracts, addendums, powers of attorney, and supporting deal documents.
• Coordinating viewings, assisting agents with logistics, preparing property brochures and presentations.
• Office reception: welcoming clients, partners, and developers.
CRM & Transaction Support
• Creating and updating client and property records in CRM.
• Tracking lead progression through the pipeline.
• Preparing weekly CRM-based performance reports for management.
Compliance & Dubai Real Estate Market Procedures
• Full knowledge of RERA rules and real estate compliance.
• Obtaining and renewing Trakheesi permits for property listings.
• Coordinating with developers, DLD, and trustee offices when required.
• Assisting in drafting NOCs, Ejari, and other supporting documents.
Digital Marketing & Property Listings
• Daily posting and refreshing of listings on Property Finder, Bayut, Dubizzle.
• Maintaining property ads in top ranking without additional bidding budget.
• Uploading professional photos, videos, and descriptions to portals.
• Coordinating with photographers/videographers and ensuring timely upload.
• Managing simple digital campaigns (Telegram Ads, Google/Yandex basics).
Partner & Client Coordination
• Managing partner database and assisting with cooperation agreements.
• Sending weekly updates and new offers to partners.
• Coordinating presentations and arranging our agents to speak at partner events.
HR & Office Coordination
• Posting vacancies, assisting with candidate screening and interviews.
• Preparing internal policies, job descriptions, and staff regulations.
• Monitoring agent discipline and adherence to office standards.

Requirements
• Minimum 1 year experience in real estate / office admin / brokerage.
• Knowledge of RERA rules and experience with Trakheesi permits.
• Strong experience with Property Finder, Bayut, Dubizzle listings.
• Good command of CRM systems (AmoCRM preferred).
• Digital literacy: Canva, CapCut, MS Office, WhatsApp/Telegram broadcasting.
• Excellent communication and organizational skills.
• Fluent English (written & spoken).
• Tagalog – advantage for team coordination.

Compensation
• Base salary: AED 5,000 – 7,000 (depending on experience).
• KPI bonuses: up to AED 2,500 monthly for:
• maintaining ads in top ranking on portals;
• correct and timely Trakheesi permits;
• smooth CRM reporting with no “lost” leads;
• weekly partner communication and new leads from partners.
Total package: up to AED 9,500 / month.

• Office-based role: Emaar Business Park, Dubai.
• 5-day working week (Monday–Friday), office hours; remote support on weekends (if needed)
