Position: Legal Secretary

Reporting to: Director, Full-time

Qualification / Skills Required:

  • Bachelor's Degree (or equivalent) in Translating, Foreign Languages, Administration (or similar);
  • Honesty, loyalty, integrity and reliability;
  • More than 3 (three) years of experience in a law firm;
  • Fluent in English and Russian;
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology;
  • Ability to manage and work with a shared diary and ensure that appointments, commitments and deadlines are met and nothing is overlooked or omitted;
  • Basic knowledge of laws, legal codes, practices, court procedures, precedents, government regulations, executive orders and agency rules;
  • Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar;
  • Understanding written sentences and paragraphs in work related documents;
  • Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times;
  • Managing one's own time, and the time of others;
  • Understanding the implications of new information for both current and future problem-solving and decision-making;
  • Selecting and using training/instructional methods and procedures appropriate for the situation when learning or teaching new things;
  • Ability to adjust actions in relation to the actions of others;.
  • Ability to focus and concentrate on a task, or a series of tasks over a period of time, in order to achieve completion of the same to a high standard and in a timely manner, without being distracted;
  • The ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only identifying and recognizing there is a problem;
  • Punctuality and timeliness;
  • Translation and verification; and
  • Reliability and smart appearance.
    JOB SUMMARY:

Perform administrative, secretarial and other related duties utilizing legal terminology, procedures, and documents. Prepare some legal papers and correspondence, typing, indexing, identifying, gathering and paginating documents and bundles of documents and exhibits.


DUTIES AND RESPONSIBILITIES:

Mail, or arrange for delivery of all manner of documents and correspondence to variety of clients, witnesses, and court officials.

Schedule appointments, and maintain and update appointment calendars for the assigned attorney.

Making travel arrangements for the assigned attorney.

Make photocopies of correspondence, documents, and other printed matter.

Organize and maintain client and office files in order and up-to-date.

Assist attorney in collecting various information and records.

Attend legal meetings, such as client interviews, hearings, or depositions, and take minutes.

Draft and type office memos.

Submit articles and information from searches to attorneys for review and approval for use.

Complete various forms, such as accident reports, trial and courtroom requests, and applications for clients.

Using computers and computer systems (including hardware and software) to enter data, or process information.

Performing day-to-day administrative tasks such as maintaining information files and processing paperwork.

Observing, receiving, and otherwise obtaining information from all relevant sources.

Developing specific goals and plans to prioritize, organize, and accomplish your work.

Entering, transcribing, recording, storing, or maintaining information in written or electronic form.

Perform administrative support tasks such as proofreading, markup and typing.

Transcribing hand-written and dictated documents into electronic version documents;

Training new secretaries;

Assisting other secretaries with workload as and when required;

Occasional translation and paralegal tasks;
