Job requirements:
Education: Bachelor’s degree preferred.
Work experience: Minimum 2 years of administrative experience, preferably in a higher education setting. Experience supporting senior leadership in a university setting or similar educational firms.
Knowledge and Skills:
- Excellent written and verbal communication skills.
- High level of professionalism and discretion with confidential matters.
- Strong organizational and time-management abilities.
- Proficient in Microsoft Office Suite, Google Workspace, and virtual meeting tools (Zoom, Teams).
- Ability to work independently and collaboratively in a fast-paced academic environment.
- Familiarity with university LMS systems (e.g., PeopleSoft, Canvas).
Duties and Responsibilities:
Communication & Coordination
- Coordinate communication between the Dean and university departments, faculty, staff, students, and external partners.
- Assist in the preparation of reports, presentations, and academic documentation.
Office and Administrative Management:
- Organize and maintain digital and physical files, including confidential records.
- Order office supplies and maintain equipment for the Dean’s Office.
- Manage budget tracking and assist with communicating procurement needs
Event and Project Coordination
- Coordinate logistics for school-wide initiatives, guest speakers, and academic conferences.
Faculty & Student Support:
- Assist with onboarding of new faculty and adjunct/ visiting instructors.
- Support faculty evaluations, and annual reporting cycles.
- Respond to student inquiries and direct them appropriately.
