Russian Speaking Family PA is needed in Dubai

Place of work: Dubai + Worldwide

Family: 2 adults + 1 child

Conditions:

  • Schedule: rota 15/15, 30/30 days on/off

  • Salary - negotiable

Requirements:

  • Russian/English speaking candidate

  • Working experience as Family Assistant, House Manager with PA functions in high profile families from 3 years is must

Duties:

Staff Management:

  • Supervise household staff including butlers, housekeepers, drivers, chefs and other domestic employees.

  • Create work schedules, assign tasks and ensure that staff members adhere to high standards of performance and professionalism.

  • Conduct performance evaluations, provide feedback and address any issues or concerns that arise with staff members.

Household Operations:

  • Develop and implement household policies, procedures and guidelines to ensure efficient operation and organization.

  • Coordinate and oversee household activities, including cleaning, laundry, meal preparation, grocery shopping, and other domestic tasks.

  • Ensure that all household equipment, appliances, and systems are properly maintained and serviced on a regular basis.

Finance Management:

  • Manage household budgets, expenses, and financial records, including payroll for household staff.

  • Optimizes processes for decreasing a household expense, initiates cost efficiency and savings.

  • Develop and manage travel budgets in collaboration with family members.

  • Track expenses, reconcile receipts, and provide regular budget updates.

Vendor Management:

  • Identify and select vendors, contractors and service providers for household maintenance, repairs and renovations.

  • Negotiate contracts, review proposals and ensure that vendors deliver high-quality services in a timely and cost-effective manner.

  • Coordinate with external vendors and oversee projects to ensure that they meet the household's standards and requirements.

Travel Management:

  • Plan and organize travel itineraries, including flights, hotel reservations, car rentals, and activities for family members and accompanying personnel.

  • Ensure that travel arrangements align with budgetary constraints and family preferences.

  • Coordinate with travel agents, airlines, hotels and other service providers to make
    reservations and bookings.

  • Arrange special accommodations or services as needed such as childcare or
    medical assistance.

  • Manage all logistical aspects of travel including transportation to and from airports, hotels and activities.

  • Provide detailed travel schedules, directions and instructions to family members.

  • Coordinate luggage handling, packing and shipping services as necessary.

  • Anticipate and address any logistical challenges or special requirements during travel.

  • Serve as the primary point of contact for all travel-related inquiries and communications.

  • Communicate regularly with family members to provide updates on travel plans, changes and developments.

  • Coordinate with other household staff such as nannies, drivers and butlers to ensure smooth travel experiences.

Event Planning and Coordination:

  • Plan and coordinate special events, gatherings and parties hosted at the residence including menu planning, guest invitations and event logistics.

  • Liaise with event planners, caterers, decorators and other vendors to ensure successful event execution.

  • Provide on-site support and supervision during events to ensure that all aspects run smoothly and according to plan.

Administrative Tasks:

  • Manage household correspondence including emails, letters, and phone calls and respond to inquiries in a timely and professional manner.

  • Maintain household records, files and documentation including inventories, warranties, and manuals.

  • Handle household logistics such as travel arrangements, vehicle maintenance and guest accommodations.

  • Other duties as assigned.
