Position Summary
We are seeking a highly organized, proactive, and versatile Administrative Manager to support the CEO and ensure the smooth operation of all company departments. This role combines administrative leadership with key responsibilities in payroll, recruitment, business development support, and cross-departmental coordination. The ideal candidate is detail-oriented, a strong communicator, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities
• Oversee and process company payroll accurately and on time.
• Support recruitment efforts by:
• Reviewing and screening resumes.
• Calling and conducting preliminary phone interviews with candidates.
• Coordinating interviews with hiring managers.
• Work directly with the CEO on high-priority initiatives, providing administrative and strategic support.
• Help administer and coordinate new business development and marketing programs.
• Ensure smooth operations across all departments, serving as the central point of contact for interdepartmental issues.
• Monitor departmental and company-wide tasks, ensuring deadlines are met and no responsibilities are overlooked.
• Develop, track, and report on key performance metrics (KPIs) for the company and individual departments.
• Prepare and deliver regular reports to the CEO on operational status, metrics, and ongoing initiatives.
• Perform other administrative and managerial duties as assigned.

Required Skills & Qualifications
• Fluency in English (spoken and written) is required, with strong communication skills to conduct phone calls, write emails, and draft reports professionally.
• Proven experience in administrative management, operations, HR support, or a similar role.
• Knowledge of payroll processes and basic HR principles.
• Ability to prioritize and manage multiple tasks and projects simultaneously.
• High level of discretion, professionalism, and attention to detail.
• Strong problem-solving abilities and a proactive attitude.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management and HR tools is a plus.

• Prior experience in a business development or marketing support role.
• Experience tracking and reporting business metrics.
• Bilingual proficiency in Spanish is a plus but not required.
