Operations specialist

inVisionU is seeking a detail-oriented and reliable Operations Specialist to ensure the smooth functioning of our internal processes. This role is perfect for someone who thrives on structure, takes ownership, and enjoys supporting others by making sure everything runs efficiently — from contracts and documentation to working with vendors, accountants, and auditors.​​​​​​​

Key Responsibilities:

1. Contract and Document Management

• Maintain and monitor contracts with partners and vendors, including collaboration with project coordinators.

• Organize and oversee both physical and electronic archives.

• Keep track of contracts and related documentation via internal registers.

• Ensure compliance with contractual terms: deadlines, payments, reports, and original signed documents (especially for international contracts).

2. Accounting and Audit Support

• Collect and submit primary documentation to the outsourced accounting provider (GB Consult) on a monthly basis.

• Support financial reporting processes and assist during internal and external audits when needed.

3. Vendor and Correspondence Handling

• Manage the full cycle of working with vendors and external contractors.

• Register and track incoming correspondence, documents, and equipment.

• Ensure proper distribution, accounting, and secure storage of received items.

4. Process and Event Organization

• Oversee administrative workflows and improve operational efficiency.

• Support internal data governance practices.

• Assist in organizing internal events and coordinating participants.

• Collaborate with project coordinators, consultants, legal, and finance teams to ensure seamless execution of tasks.

Requirements:

• 1–3 years of relevant work experience.

• Fluency in Russian, Kazakh, and English.

• High level of responsibility and adaptability.

• Strong attention to detail and organizational skills.
